The Three-Phase Model
Phase 1
Kim works directly with you in the first phase. This is not onboarding admin — it is a structured calibration that reveals how you think, how you decide, and where execution is breaking down. Nothing is assumed.
During this phase: Kim conducts the SYSTEM 0 calibration — a series of sessions designed to map your decision style, risk tolerance, communication preferences, calendar priorities, and delegation comfort. The assigned BEATS EA is introduced and begins observing. Your Executive Operating Profile is built — a document that governs everything the EA does on your account. The first execution systems go live: inbox triage, priority filtering, and calendar protection.
By the end of Phase 1, you should feel less reactive. Fewer things hitting your attention that should not be there.
Phase 2
In Phase 2, the remaining execution systems are installed and stabilised. The EA is fully operational. Maricel — the BEATS Senior EA Lead — conducts quality checks and oversight.
During this phase: all seven BEATS execution systems are running. Follow-through is tracked — every task has an owner, a deadline, and an escalation path. You stop following up on things you already handed off. Meetings produce decisions and documented actions. A weekly Executive Summary arrives every Friday — two minutes to read, focused only on what needs your attention.
By the end of Phase 2, execution is moving without your constant involvement.
Phase 3
In Phase 3, the system runs. The team maintains it. Kim oversees quality and remains accountable for outcomes. You do not manage anyone.
During this phase: system health is monitored against your specific success signals. Minor calibration adjustments are made as needed. The 90-Day Foundation Review is prepared — a structured presentation of what was built, what is working, and a recommendation for ongoing support.
On Day 90, you and Kim review together. You decide whether to continue, at what level, and how.
What BEATS installs - and what each one protects.
| SYSTEM | WHAT IT DOES | YOU EXPERIENCE |
|---|---|---|
| Priority & Decision Filter | Defines which decisions require your judgment and which should never reach you. | You stop being the default decision-maker for everything. |
| Communication & Inbox Triage | Manages what reaches you, how it reaches you, and when. | Zero inbox anxiety. Nothing important missed. Nothing unimportant seen. |
| Calendar & Time Protection | Rebuilds your calendar around your energy and priorities, not others' requests. | Your best hours are protected for the work only you can do. |
| Execution & Follow-Through | Ensures every task has an owner, a deadline, and an escalation path. | You stop following up on things you already handed off. |
| Task & Delegation Integrity | Ensures nothing disappears — tasks close or escalate automatically. | If you handed it off, it is being tracked. |
| Meeting Efficiency | Ensures meetings have agendas, produce decisions, and generate documented actions. | Less time in meetings. More value from the ones that remain. |
| KPI & System Health | Monitors whether execution is working — measured by your clarity and freedom. | If it stops feeling lighter, the system adjusts. That is the job. |
